Started in 2010, we’re a small, dynamic, design company developing and creating playful products and gifts. Our ideas are original, the products are niche and our purpose is to bring a smile with our designs. We design, manufacture, sell, and ship all our products from our plant-filled studio in Deptford. It’s a busy studio in a relaxed environment and we focus on providing the best service to hundreds of customers worldwide.
About the Operations Role
This is an over-arching administrative role covering a range of responsibilities from inventory control, software integrations, bookkeeping, compliance, and compiling data-driven stats and forecasts. The role includes day-to-day tasks to ensure the smooth running of the business and project-based work to help grow the company and improve productivity and efficiency levels.
Qualifications
The Operations role is varied and dynamic for someone with excellent organisational skills and administrative experience. It would suit someone with Office Management experience wanting to get a more varied role that makes a big impact, or someone with Executive Assistant or Administrative background looking for a new challenge.
We are looking for someone who is:
• Methodical, accurate, and extremely organised with a keen eye for detail
• Confident and proficient at using IT and software systems
• Keen to help improve workflow efficiency.
• Excellent numeracy skills, attention to detail, and strong administration skills
• Competent with budgets, spreadsheets, and reporting.
• Have the ability to read, understand, and summarise legal contracts and manuals.
• Be proactive at finding solutions to solve operational issues in a timely and effective manner.
• Self-starter and proactive attitude.
• Experience in a similar industry is desirable.
Responsibilities
Office Administration
- Maintain and review administrative processes to make them as efficient and effective as possible.
- Help implement structure in how the company is run by updating and compiling how-to documents.
- Managing logistic accounts: Negotiating shipping pricing and ensuring our costings and pricing is up to date.
- Manage Utility accounts and periodically review suppliers to ensure the best value for money.
- Helping keep customer database up to date.
- Update product codes and inventory information.
- Holiday and Friday cover for Studio Manager - dispatching B2C orders, and responding to B2C inquiries.
Operations / Compliance
- Set up new vendor accounts with key accounts.
- Read through Contracts and Vendor Setup forms to ensure we meet all their terms and logistic needs.
- Update product spreadsheets.
- Check and deal with IP infringements, copyright claims, and legal registrations.
- Keep up to date with product safety testing and factory audit requirements.
Finances / Book-keeping
- Weekly book-keeping tasks:
- Inputting purchase orders and expenditures.
- Allocating debits to the correct accounts and reconciling these in Xero across multi-currency bank accounts.
- Reconciling sales invoices and checking for any mis-entered invoices and orders.
- Send invoices to customers and chase outstanding payments.
- Raise purchase orders and keep track of ETA’s for incoming stock.
- Compile sales stats and cash flow forecasts.
- Pay invoices
